What to do
1. Collect your sources
– Visitor evaluations (surveys, possibly teacher feedback)
– Your own observations during preparation, execution, and breakdown
– Conversations with guests
– Conversations with teacher(s)
– Team feedback (group discussion and/or feedback survey)
– The project plan, budget, and schedule (as reference to assess whether goals, budget, quality requirements, and planning were met)
2. Create a presentation together (10–15 minutes)
Follow this structure:
Analysis
What was the plan? What happened in practice?
Where did you deviate and why?
Use the project plan, budget, and schedule to support whether:
– objectives were achieved,
– the budget was correct,
– activities met the quality requirements,
– the planning was realistic (and where it was not).
Reflection
How did the collaboration go?
How was the hospitality?
What went well, what did not?
Use team observations, conversations with teacher(s), and team surveys.
Conclusion & Advice
What are the main lessons?
What improvement points do you give for a next edition?
3. Divide the presentation
Each team member presents their own part.
Make clear who had which role during the event and who is responsible for which part of the evaluation.
4. Create an appendix
Add factual evidence:
– photos
– survey results
– observation reports
– conversation notes
Reference material (project plan, budget, schedule) does not count as evidence.
Evidence
You submit as a team:
– The slide deck with speaker notes
– The appendix with evidence
Evidence = what you collected and analysed yourselves.
Again: reference material does not count as evidence.
Criteria
Pass: The presentation covers the minimum elements: event evaluation, collaboration, hospitality, and a clear structure.
Merit/Distinction: The same elements are worked out in more depth with sharp analysis, well-supported reflection, and clear, useful advice.
Submission instructions
Submit your presentation and appendix via Itslearning or the platform your teacher indicates.
Check before uploading:
– the slide deck contains speaker notes
– the appendix contains evidence (no reference material)
– file names and date are correct
